8x8 Voice for Microsoft Teams: Deployment Guide

 

Objective

8x8 Voice for Microsoft Teams is a cloud-based PBX-to-PBX integration with Microsoft Phone System, which creates a seamless, behind-the-scenes integration of 8x8 Work phone service into Microsoft Teams.

This article steps through the basics of setting up and synchronizing Microsoft Teams user accounts with their corresponding 8x8 user accounts, using the 8x8 Voice for Microsoft Teams administrative portal.

The following topics are covered in this article:

Note: Some elements of the configuration within Microsoft 365 services can be subject to delays as information propagates between different parts of the Microsoft system. This can vary from day to day, so we recommend that you aim to carry out the steps below at least 48 hours prior to your go-live date to allow for this.

If you receive an unexpected error at any step, we suggest waiting 24 hours and trying again before reporting a problem.

Prerequisites

Setup of the service must be performed by one or more administrators who have access to high-level admin functions of both Microsoft Teams and the 8x8 Admin Console.

Microsoft Teams Requirements

Before you begin, you will need the following:

  • Login credentials for the organization’s Microsoft 365 account with Global Admin rights.
    • Global Admin rights are required only for the initial service setup phase, which includes the first user sync. Subsequent user syncs require only Teams administrator rights.
  • Microsoft Teams users created and assigned one of the following license sets:
    • EITHER: Microsoft 365 E5 License (Microsoft Phone System license included)
    • OR: Microsoft 365 Business Basic, Standard, or Premium and Microsoft Business Voice (up to 300 users)
    • OR: Microsoft 365 E1, E3 or A1,A3 license and Microsoft Phone System license.
  • Two spare Office 365 user licenses such as Business Essentials/Premium or E1 - E5 will be required for a few hours during initial setup process.
    • One spare license will work, but the setup process goes faster with two.
    • If you do not have a spare license, you will need to perform additional manual activation steps.
    • Once setup is complete, spare licenses can be removed or re-assigned.

Important: The Microsoft Teams setup and sync processes in the 8x8 Voice for Teams admin portal are fully automated through PowerShell scripting.

8x8 Support does not provide assistance with manual Microsoft tenant configuration.

8x8 Voice Requirements

  • The initial sync process in the 8x8 Voice for Teams admin portal must be performed by the designated 8x8 Admin Console Super Admin, as listed in Roles & permissions > Assignments.
  • An 8x8 X Series account is required.
  • Microsoft Teams licenses must be applied to your 8x8 X Series account, and appear in the 8x8 Admin Console under Licenses.
  • For each 8x8 Voice for Microsoft Teams user:
    • One 8x8 X series License (X1-X8) must be assigned.
    • A phone number and extension must be assigned.
    • Teams user email addresses must be identical in both their Microsoft and 8x8 user profiles.
    • Each 8x8 user profile with an enabled MS Teams license must contain a unique email address.
    • Enable MS Teams integration must be set to enabled (blue) in each Teams user's 8x8 user profile.

Procedure

Follow the processes outlined below to enable your 8x8 Voice for Microsoft Teams service:

  1. Accessing the 8x8 Voice for Microsoft Teams admin portal
  2. Adding additional administrators (Optional)
  3. Configuring and enabling the service in the admin portal
  4. Syncing Users

IMPORTANT: It is critical to log in with the credentials for the Microsoft 365 account being configured.

  • Logging in with the credentials of a different Microsoft 365 account will authorize changes to a Microsoft 365 tenant other than the one that should be configured.
  • The admin user account must have Global Admin rights to the Microsoft 365 tenant for the initial setup and any changes to regions, and at least Skype for Business Admin rights for user provisioning.

Accessing the 8x8 Voice for Microsoft Teams admin portal

The purpose of the 8x8 Voice for Microsoft Teams admin portal is to configure the service, and to synchronize users in the service owner's 8x8 environment with their Microsoft Teams tenant.

To access the admin portal:

  1. The administrator should receive a welcome email as shown below, inviting them to the 8x8 Voice for Microsoft Teams portal.
    • This invitation must be accepted within 48 hours, or it will expire.
  2. Click on Accept Invitation to be taken to the admin portal at https://admin.msteams.8x8.com.
  3. At the Microsoft login prompt, supply the appropriate Microsoft credentials.
    • If you are performing the initial setup of the Voice for Teams service, you must log in using credentials with Global Admin rights to your Microsoft 365 tenant.

Note: The admin account is used strictly for accessing and administering the 8x8 Voice for Microsoft Teams admin portal. It does not have credentials to access the Microsoft or 8x8 environments.

Once you are successfully logged in to the admin portal, you'll be shown the Getting StartedWelcome screen.

  1. Click the Check My Tenant button to perform a quick test of the Microsoft requirements for the service.

  1. When prompted, log in to Microsoft 365 services using your administrator credentials. Again, for the initial service setup, the credentials should have Global Admin rights to the Microsoft 365 tenant.
    • Note: Subsequent user syncs – made after the initial, completed setup sync phase – can be performed by Teams or Skype for Business administrators.

  1. If/when prompted, check the Consent on behalf of your organization checkbox, and click the Accept button.

  1. If you receive any status other than green check marks for each category, you'll need to correct the issue(s) before continuing with the setup.
    • Note that you can continue with the 8x8 Voice for Teams Wizard to perform your setup. However, we recommend completing the service setup following the instructions below.

Common Login Errors

  • We've hit an unexpected error.
  • We can't find any accounts for user@domainname.com. Please contact your administrator to receive an invitation to the service.

To resolve these issues:

People often use multiple Microsoft accounts for work and personal use. If the above errors occur, you may be trying to access the 8x8 Voice for Microsoft Teams admin portal while logged in to a different Microsoft account than the one registered with the portal.

  • Either log out of any current Microsoft sessions and log back in using the correct credentials.
  • Or open a private browsing session such as Chrome Incognito, and log into the portal using the correct credentials.

Adding additional administrators (Optional)

You can add additional service administrators to the 8x8 Voice for Microsoft Teams admin portal at any time. To do this, complete the following steps:

  1. In the admin portal, click Account at the top of the page.

  1. Click +Invite Administrative User.
  2. Enter the new administrator's Email, First Name, and Last Name.
  3. Click the Roles dropdown menu and select the administrative role(s) you are assigning to the new admin.
  4. Click one of the following to invite the new admin:
    • Send via Email: An invitation email will be sent to the new admin with a clickable link.
    • Share via link: The invitation link must be manually shared with the new admin.

A list of current and expired admin invitations appears in the Invitations section at the bottom of the Account page. Admins are automatically removed from this list once they accept their invitation and successfully log in.

Note: If an admin invitation was sent using the email option, but was never received:

  • Have your new admin check their Junk Email folder in Outlook.
  • Check your Office 365 spam quarantine to make sure that invitation emails are not being blocked.
  • Failing all else, simply delete the current invitation and create a new one using the Share via link option.

Configuring and enabling your services in the admin portal

The 8x8 Voice for Microsoft Teams admin portal is an intermediary service between 8x8 Admin Console and Microsoft Teams. This is where your 8x8 user accounts will be synchronized with their corresponding Microsoft Teams users.

To begin configuring your service in the 8x8 Voice for Microsoft Teams admin portal, complete the following steps, in this order:

Enable the 8x8 PBX Service

First, enable your 8x8 PBX service, to allow it to connect to the admin portal for later sync of users with Teams.

  1. In the 8x8 Voice for Microsoft Teams admin portal, navigate to the Services tab and click the PBX tab.
  2. From the dropdown menus, select the appropriate Country and State / Province.
  3. Click Add PBX.

  1. When prompted, log into 8x8 services using your 8x8 Super Admin credentials. Once the process is complete, you should see more options in Services > PBX.

  1. The Service Name defaults to 8x8 PBX, but this can be changed if desired. (See screenshot below)
  2. Calling Policy:
    • To use 8x8 Voicemail and 8x8 Music On Hold (recommended), check Manage Teams Calling Policy and set the following options:
      • Teams Voicemail: Prohibit Voicemail & Call Forwarding
      • Music On Hold: PBX Hold Music
    • To use Teams Voicemail and Teams Music On Hold, or any combination of Teams and 8x8 services, check Manage Teams Calling Policy. Then set the Teams Voicemail and Music On Hold options as needed.
    • See the Manage Teams Calling Policy located in the Additional Service Information section for more details.
    • Note that this setting can be changed at any time, as needed.
  3. At the bottom-left, Sync is currently enabled for this service should appear. If sync is disabled, click Enable Sync.
  4. For best call transfer performance, leave Propagate Refer set to Teams True Transfer.
  5. Click Save to store your changes.

Note: Service configuration does not trigger a sync between 8x8 and Teams. The above configuration only makes 8x8 PBX synchronization possible.

You'll be prompted for your 8x8 and Teams credentials at a later stage to sync the 8x8 and Teams services together in the admin portal.


Enable the Teams Service

When a sync is performed, the service automatically allocates endpoints based on the location of 8x8 users. The Enable Sync function allows the portal to automatically configure the service and set phone numbers directly into your Microsoft 365 tenant.

Choose one of the following methods to configure the admin portal's Teams service to sync users with:

Note: Part of the Voice for Teams setup sync process will automatically add 8x8 domains to the Microsoft 365 account, and will activate them for voice. This requires that a licensed user has their sign-in address changed to each of these domains, long enough for Microsoft to activate that domain in the voice subsystem. The sync process will do this automatically, using the first of these three methods that apply:

  1. Use a spare license to create a user, then delete the user when finished.
  2. Change the sign-in address of the user whose credentials were specified for the sync if it has an appropriate license, changing it back once finished.
  3. Change the sign-in address of an arbitrary user who has an appropriate license, changing it back once done.

The sync will wait up to 20 minutes for Microsoft to activate the domains before giving up and restoring the sign-in address. In most cases this is more than enough time. Occasionally the Microsoft subsystem that activates domains for voice may stop working and it could be necessary to wait up to 24 hours before trying again.

Sync all Teams users

When the service is configured to sync all Teams users, the admin portal will poll the Microsoft Teams tenant for all available users.

Note: Only Teams users with appropriate licensing enabled in both Microsoft Teams and the 8x8 Admin Console will actually be synced (connected) in the 8x8 Voice for Teams admin portal.

Complete the following steps:

  1. Navigate to the admin portal's Services > Teams tab.
  2. Confirm that the Enable Sync checkbox is checked.
  3. Leave Large Tenant Mode set to Off.
  4. Click the Enable Service button.

  1. When prompted, log in to Microsoft 365 services using your administrator credentials with Global Admin rights to the Microsoft 365 tenant.

  1. When prompted, check the Consent on behalf of your organization checkbox, and click the Accept button.
    • You should see two prompts, as two different applications will be installed on your Microsoft service which are critical to the Voice for Teams sync process.

The Sync Now button at the top right of the page will change to display a Syncing notice.

During this process, note that two 8x8 domains will be added to the Microsoft 365 service, here. These domains are critical to the functioning of Voice for Teams. The Teams dial pad will not appear for any Microsoft Teams user if this process does not complete.

When the update process is complete, a brief Service sync enabled confirmation notice is displayed.

At this stage, you have not actually performed a full service sync. That's coming up.

  1. Click Save. Your Microsoft 365 service domain will be listed beneath Sync Enabled.
  2. You should now see the Sync Now - Changes Queued button at the top-right of the screen. Click the button to complete the full sync of your Microsoft Teams users with their corresponding 8x8 user accounts.

  1. Enter the proper administrator credentials to continue the process, as needed. You will not be prompted for credentials if you've already entered them during the configuration session.

Finally, you should now see your Microsoft Teams users listed in the Users tab of the Voice for Teams admin portal.

Note: For future user syncs, simply click on the Sync Now button. Instructions and sync options are located in the Syncing Users section below.

Admin portal Users tab definitions:

  • User: Names listed in the User column are synced Microsoft Teams users.
  • Service: This indicates the type of user that has successfully been synced to the portal from Microsoft Teams.
  • Sip User: Names listed in the SIP User column are synced 8x8 users.
  • Registration: A green dot indicates that a successful registration between the Voice for Teams admin portal and the 8x8 service has been made. It does not indicate that a sync has been made with Microsoft Teams.
  • Calls: This indicates the status of the user's most recent inbound and outbound calls.

Sync Teams users from a specified Azure AD Group

The following steps will guide you through preparing the 8x8 Voice for Teams admin portal to sync members of an existing Azure AD Group with their corresponding users in the 8x8 Admin Console.

This process will automatically sync your Teams and 8x8 users, when completed.

Important: If you have not already done so, first follow the steps required to Enable the PBX Service, and then return to steps, below.

Complete the following steps to enable sync of Azure user group members:

Note: We've named our example Azure user group 8x8 Voice Users, but you can use any name you wish.

  1. In the 8x8 Voice for Microsoft Teams admin portal Services page, select the Teams tab.
  2. Click the slider of Large Tenant Mode to turn it On (blue).
  3. In the Azure AD Groups section, click Choose Groups.

  1. When prompted, log in to Microsoft 365 services using your administrator credentials with Global Admin rights to the Microsoft 365 tenant.
  2. Then enter your password and click the Sign in button.

  1. When prompted, check the Consent on behalf of your organization checkbox, and click the Accept button. This is to install the 8x8 Voice for Teams application into your Microsoft service.

  1. In the popup window, click the Azure AD Groups dropdown menu, and select the Azure AD group(s) you will sync to 8x8.
    • As stated in the prompt, users in your selected Azure AD group(s) must have a Microsoft Phone System license and must not have a Microsoft Calling Plan assigned to them.
  2. Click Save.

  1. Click Enable Service.

  1. If/when prompted, supply your Microsoft 365 Global Administrator credentials. Note that because you logged in earlier, the prompt may only briefly appear and automatically log you in.

  1. If/when prompted again, check the Consent on behalf of your organization checkbox, and click the Accept button. This is to install the 8x8 Voice for Teams Sync application into your Microsoft 365 service.

Your Microsoft 365 service domain will be listed beneath Sync Enabled, and the assigned Azure AD group name(s) will appear beneath Azure AD Groups.

  1. Click Save.

At this point, your Azure AD group members will already have been synced to the admin portal. You can see the user list by clicking on the Users tab at the top of the page (see below).

  1. Click the Sync Now button if you see Sync Now - Changes Queued.

  1. Supply your Microsoft or 8x8 Global administrator credentials as needed. If you've performed all of the above steps in a single session, you will have already supplied your credentials, and may not be prompted.

The sync process will be complete when you see Sync Now with a green check mark.

Finally, you should now see your Azure AD Group members listed in the Users tab of the Voice for Teams admin portal.

Note: For future user syncs, simply click on the Sync Now button. Detailed instructions and sync options are located in the Syncing Users section below.

Admin portal Users tab definitions:

  • User: Names listed in the User column are synced Microsoft Teams users.
  • Service Type: This indicates the type of user that has successfully been synced to the portal from Microsoft Teams.

Syncing Users

When your Microsoft Teams and 8x8 PBX services are configured, you can follow the simple steps below at any time to perform a full user sync between those services.

You'll need to perform a full 8x8 PBX / Teams sync (by clicking Sync Now) under the following conditions:

  • To complete your initial admin portal setup.
  • One or more user's name or phone number has been changed in their 8x8 user profiles, either directly in Admin Console or by user SCIM sync from Azure AD.
  • One or more users have been disabled or deleted in 8x8 Admin Console, or in Microsoft 365 services.
  • The Sync Now button does not have a green check mark.
  1. Log into the 8x8 Voice for Microsoft Teams admin portal as an administrator with appropriate Microsoft credentials.
  2. Click the Sync Now button, which appears in both the Services and Users tabs.
    • Depending on the state of your service, you might see a different status in the Sync Now button:

  1. If/when prompted, supply the appropriate credentials for either or both Microsoft 365 and 8x8 services.

Note: Global Microsoft admin credentials and 8x8 Super Admin credentials are not required to perform a sync after both services have already been successfully enabled in the 8x8 Voice for Microsoft Teams admin portal.

The Sync Now button at the top right of the page will change to display a Syncing notice.

Once your new sync has finished, you should see the Sync Now button with a green check mark. Any new users should now appear in the Users list.

When a full 8x8 / Teams user sync has been successfully completed, assigned 8x8 user phone numbers will have been pushed to the corresponding Microsoft Teams user configuration.

Sync Now Options

The following Sync Now options are available in the 8x8 Voice for Teams admin portal:

Simultaneous 8x8 PBX and Teams sync

To perform a simultaneous sync of both the 8x8 PBX and Teams services:

  1. Click the Sync Now button in either the Services tab or Users tab.

Note: The Sync Now button will display Sync Now - Changes Queued with a blue background when there are updates pending to be applied to the Microsoft 365 tenant. These updates should be applied as soon as possible to implement changes you have made to users or to the service.

Sync only 8x8 PBX, or only Teams 

To perform an individual sync of only the 8x8 PBX service or only the Teams service:

  1. From the Services tab or Users tab, click the dropdown arrow of the Sync Now button.
  2. Click on the service you wish to perform a sync of.

Show Sync History

To review the sync job history on your service:

  1. From the Services tab or Users tab, click the dropdown arrow of the Sync Now button.
  2. Click Show Sync History.

See below for details about available features of the Sync Jobs

The Sync Jobs page contains a list of both 8x8 PBX and Teams syncs that have been run.

  1. If you don't see your latest sync job listed, either refresh your web browser page or click on the refresh icon clipboard_e919850bb073fcfb8bb7b0a013b29cc89.png beneath the Sync Now button.
  • Note: If you see a familiar name (such as your company name) listed instead of 8x8 PBX, this is because the default name was changed by the service administrator during the initial setup of the admin portal PBX service.

  1. To review the details of a specific sync job, click on the arrow clipboard_e34cbdde0e567287df772a0639ff0fcee.png to the left of the sync job to expand it.

This can be useful for identifying issues that you might experience during individual or full sync processes.

  • Note: If desired, you can click on Copy Job Output at the top-right of the Output area, for pasting into a text editor.

The list of sync jobs can also be filtered by the Service synced, the end State of the sync job, or both.

  1. To apply the filter(s), just click on the dropdown arrows for Service and/or State and select the desired options.

Diagnostic Sync

A diagnostic sync adds more detail to the sync jobs that you run. You will only see this information on sync jobs which you run with the diagnostic option.

To perform a diagnostic sync:

  1. From the Services tab or Users tab, hold down the Alt and Shift keys together on your keyboard (Alt+Shift), and then:
    • Either click on Sync Now to perform both an 8x8 PBX and Teams sync.
    • Or click the dropdown arrow of the Sync Now button and click on the individual service you wish to perform a sync of.
  2. Supply your appropriate administrator credentials for your 8x8 or Microsoft services, if prompted.
  3. The Sync Now button will display Syncing as usual, but will now display a spinning bug icon. Allow the sync to complete before performing any changes in the admin portal.

  1. When the sync is complete, navigate to the Sync Jobs page (if you aren't already there):
    1. From the Services tab or Users tab, click the dropdown arrow of the Sync Now button.
    2. Click Show Sync History.
  2. If needed, click on the refresh icon clipboard_e919850bb073fcfb8bb7b0a013b29cc89.png beneath the Sync Now button to update the Sync Jobs display.

Sync jobs which have been run using the Alt+Shift diagnostic option will display a bug icon clipboard_eeb54934aa8fcbb3f63f6d6bdb7466714.png in the Service column.

  1. To review a diagnostic sync log, click on the arrow clipboard_e34cbdde0e567287df772a0639ff0fcee.png to the left of the sync job to expand it.

The Output section will appear in the sync log as usual:

  1. Finally, scroll further down to review the debug output section of the sync.

Note: If desired, you can click on Copy Debug Job Output at the top-right of the output area, for pasting into a text editor.

Additional Service Information

Administrator Roles

When adding additional administrators to the Voice for Teams admin portal, you will need to assign one or more of the following roles:

  • Account Owner: View or change all service settings, perform user syncs, and invite new service admins.
  • Service Contributor: Act as an Account Owner on client accounts.
  • Service Viewer: Read-only access to Services and Users. Cannot access the Account page.
  • Sync Contributor: Can only initiate maintenance syncs. Has no access to any other function in the admin portal.

For partner accounts, the following options may be available:

  • Subscription Contributor: Can view or change Subscriptions and licenses, and add client accounts.
  • Subscription Viewer: Read-only access to Subscriptions, Licenses, and Client Accounts.
  • Branding Contributor: Can view or change Service Templates, manage logos, e-commerce, and support links.

Manage Teams Calling Policy

The following custom policies are added to your Microsoft Teams service here during the initial sync process.

They are only made active by changing the Manage Teams Calling Policy options in the admin portal Services > PBX, or by changing individual user calling policy override in the admin portal > Users.

  • 8x8-VM-MOHTEAMS: Use Teams voicemail and Teams Music On Hold
  • 8x8-VM-MOHEXT: Use Teams voicemail and 8x8 Music On Hold
  • 8x8-NoVM-MOHTEAMS: Use 8x8 voicemail and Teams Music On Hold
  • 8x8-NoVM-MOHEXT: Use 8x8 voicemail and 8x8 Music On Hold
  • 8x8-NoVMOrForward-MOHTEAMS: Use 8x8 VM, disable the Teams forwarding option, and use Teams Music On Hold
  • 8x8-NoVMOrForward-MOHEXT: Use 8x8 VM, disable the Teams forwarding option, and use 8x8 Music On Hold.

Definition breakdown:

  • VM = Use Teams voicemail
  • NoVM = Use 8x8 voicemail
  • MOHTEAMS = Use Teams Music On Hold
  • MOHEXT = Use 8x8 Music On Hold
  • NoVMOrForward = Do not use Teams VM or forwarding. Use 8x8 instead.
Example: 8x8 Voicemail and Music On Hold are Enabled, Teams Call Forwarding is Disabled

Note: "Teams call forwarding" refers to the call answering forward rule If unanswered: New number or contact.

When the following Calling Policy options are enabled in the admin portal:

  • Prohibit Voicemail & Call Forwarding
  • PBX Hold Music

Only these options will be available to the Teams user in Settings > Calls > Call answering rules > If unanswered:

  • Do nothing
  • Call group

The Configure voicemail and New number or contact options are not available in this scenario, by design.

Important: In this case, users must select Do nothing to ensure that unanswered calls are properly directed to 8x8 Voicemail.

Important: No-answer call forwarding timeout values must be configured per user in their Microsoft Teams interface, and per user in 8x8 Admin Console user profiles. This is to avoid unexpected no-answer forwarding timeout issues.

  • Users can set these options on their own when an administrator installs (or allows users to install) the 8x8 Voice for Microsoft Teams App.
  • If administrators have not allowed users to set their own 8x8 Voicemail and call forwarding options, those options must be set for them in the 8x8 Admin Console.

Additional Notes

Regarding Credentials

The 8x8 Voice for Microsoft Teams portal does not store any Teams or 8x8 credentials.

The 8x8 Voice for Microsoft Teams portal normally requires authorization to an Microsoft 365 account just once, and this access authority is stored in Microsoft 365 services.

Regarding the Use of Spare Licenses

During the initial service configuration, the sync process will automatically detect if there are any spare licenses and will complete without any further steps.

However, if you do not have a spare license, you will be prompted for manual intervention to complete activation of the domains for voice. The options below are available:

Temporarily unassigning a license from an existing user

Microsoft supports the temporary removal of a license for up to 30 days without affecting the configuration of the user. Our requirement is for around 15 minutes.

Apply a free/trial offer from Microsoft

Within the Microsoft 365 portal you can take up the following E5 free/trial subscriptions without charge for 30 days:

  • 25 users Business Premium
  • 25 users Common Area Phone
  • 25 users (recommended)

The choice of the free trial you take depends on the service SKUs you already have, and any of the above SKUs will suffice.

Purchase an additional license for a short period

Microsoft 365 license billing is prorated to the day. Please see the following Microsoft article for details:

The cost of adding and removing a business essentials license for one day is around USD $0.16; in practice our understanding is that MS won’t bill you for such a short period.

Why is the additional license required?
