What is an Auto Attendant and how can I configure it?

The Auto Attendant is 8x8’s service that acts as an automated receptionist. Callers will hear phone menu options and recordings based on the rules you set—for example, after-business-hours greetings. You can create multiple Auto Attendant profiles, each with its own set of rules.

Your Auto Attendant can be configured in Account Manager. Only users with administrator privileges can edit Auto Attendant settings. 

Before configuring an Auto Attendant, it is important to plan what you want your callers to experience when they call your company, and how you want the Auto Attendant to handle your caller. This will help you better define schedules and rules during the setup process. Use the printable Auto Attendant Worksheet to help you outline your Auto Attendant.

We recommend that you set up individual extensionsring groups, and call queues before setting up your Auto Attendant. Last, check out some tips on:

To create a new Auto Attendant profile

  1. Log in to Account Manager.
  2. Click Phone System on the top navigation bar.
  3. In the gray Phone System box on the left, click Auto Attendant.
  4. Under the Actions column to the right, click Create Auto Attendant Profile.
  5. Review the Auto Attendant Profile Overview and complete the Auto Attendant Worksheet.
  6. When you’re ready, click Continue at the bottom of the page.
  7. Follow the subsequent steps to set the parameters for your Auto Attendant, being as detailed or basic as you like. When you are ready to move on from a page, click Next.
  8. When you are done, click Create Profile.
  9. Back on the Auto Attendant profiles page, make sure the profile is turned on (under the Status column).

To view and configure your Auto Attendant profiles

  1. Log in to Account Manager.
  2. Click Phone System in the top navigation bar.
  3. In the gray Phone System box on the left, click Auto Attendant.
  4. The Auto Attendant page lists profiles by name. From here, you can:
    • change the Auto Attendant’s name.
    • turn the Auto Attendant on/off.
    • edit the Auto Attendant’s profile.
