How do I configure a User Policy Profile?

Objective

Setting up and configuring a user policy profile template to restrict users' access to certain features.

Applies To

Virtual Office Configuration Manager Administrators

Procedure

  1. Log in to VO Configuration Manager.
  2. On the top left of the page, click the menu (hamburger icon). clipboard_e7c8182ef5c7e47bf5c4ad006c33a3d83.png
  3. Select the User Policies section near the bottom.
    • If you don't see this section, zoom out (Ctrl AND - on most browsers) until you can see it.
  4. On the right side of the template you would like to modify, select Edit (pencil).
  5. Set the Policy Name as desired.
  6. Enable or disable the following settings based on your preferences.
    • Virtual Meetings Access Disabled - If selected, Virtual Meetings is not accessible for the user in Virtual Office Desktop and Virtual Office Mobile.
    • Disable Virtual Office Desktop Update Prompt - If selected, the user will not receive update prompts when a new version of VOD is available.
    • Do not allow users to delete their call recordings - If selected, the user will not be able to delete their call recordings.
    • Do not allow users to access their call recording - If selected, the user will not be able to access their call recordings.
    • Do not allow users to modify their basic information - if selected, the user will not be able to edit their basic information, such as first name, email and other personal information 
    • Do not allow users to modify their voicemail settings - if selected, the user will not be able to edit voicemail settings such as voicemail access PIN and notification settings
    • Do not allow users to modify their external caller ID - If selected, the user will not be able to modify their display name, the number that shows when calling externally or disable external caller id.
    • Do not allow users to modify their internal caller ID - If selected, the user will not be able to modify their display name when calling internally or disable internal caller ID
    • Do not allow users to modify their call forwarding rules - if selected, the user will not be able to modify their call forwarding rules
    • Do not allow users to modify their music on hold - If selected, the user will no be able to change the audio file that plays when they place someone on hold
    • Do not allow users to modify their call recording settings - If selected, the user will be prevented from modifying the call recording mode and their recording announcement 
    • Do not allow users to modify their emergency address - If selected, the user will not be able to modify their emergency service address
    • Do not allow users to modify their fax settings - If selected, the user will not be able to modify their fax notification email, or fax notification settings
  7. At the bottom of the page, click Save.

Additional Information

At this time, accounts are limited to only one template, which is applied across all users. Support for multiple policy templates will be added in the future.
