How do I add or swap devices on an extension in Virtual Office Configuration Manager?

Your devices are the external casing for your extension and services. Admins can change devices for users at any time. You can swap out your desk phones, and your extension and services remain intact. Services like Auto Attendants, Virtual Office, Call Queues, Ring Groups, and Call Park Extensions are not tied to a particular model of desk phone to operate.

The exceptions to device interchangeability are Power Keys, 4-Line Appearance, and Hot Desk. Power Key plans require Polycom devices. 4-Line Appearance is limited to select Polycom and Cisco phone models. Hot Desk is not supported on certain devices. Beyond these restrictions, you are free to replace devices on your extensions and retain the same functionality of your chosen services.

This process is for new or existing devices. If you are experiencing issues swapping your device, please create a case with 8x8 Technical Support.

Before You Begin

Your device must be added to your account on the Devices page before it can be assigned to an extension.

  1. Log in to VO Configuration Manager.
  2. Go to Devices.
  3. Click Add a Device Model.
  4. Select the device you wish to add. You can type in keywords to search for the device model.
  5. Click Add Device Model. You should now be able to see your device listed on the Devices page.

To exchange or replace devices in VO Configuration Manager

  1. Log in to VO Configuration Manager.
  2. Click Users.
  3. Click More Options (three dots) to the right of the User Profile for which you wish to change devices.
  4. Select Edit.
  5. Go to Voice Basic Settings and select the new device you wish to assign. 
  6. Activate the new device by entering the MAC Password or using an Activation Code.
  7. Click Save.
