Integrating Meetings with the Google Calendar Plug-In

Overview

Create, view, and manage meetings from within Google Calendar.

This plug-in allows users to better coordinate with colleagues by creating and updating Virtual Office meetings via Google Calendar, and the closer integration with Gmail means that organizing meetings is easier than ever.

Log In to the Plug-In

  1. In Google Calendar, double-click in the desired day to begin scheduling a new meeting.
    • If you are not logged in to the plug-in, click Login.
  2. The button that read Login now reads Add Virtual Office Meeting. You are now ready to add Virtual Office meetings to Google Calendar events.

Create Meetings

  1. In Google Calendar, double-click on the desired day to begin scheduling a new meeting.
  2. Click Add Virtual Office Meeting.
  3. Add meeting time, guests, description, and meeting settings. You can also choose to repeat the relevant Virtual Office meeting.
  4. Click the Menu  icon to open the drop down, where you can remove the meeting, give feedback, view the user guide and log out.
  5. Click Save to make the meeting visible in Google Calendar.
    • Optional: Click Confirm to notify participants.

Edit Meetings

  1. In Google Calendar, select and open a calendar event with a Virtual Office meeting added.
  2. Change the meeting time, guests, description, and other settings as desired. You can also reset your Meeting IDs for security purposes, and add co-hosts to share hosting privileges during the meeting.

    Advanced meeting settings:
    1. In Google Calendar, select and open a calendar event with a Virtual Office meeting added.
    2. Click the Settings  icon to display the advanced settings for the meeting. If you are a returning Virtual Office user, the default settings that show up are the same as your default meeting settings in the Virtual Office desktop app (in Classic Mode under Settings > Meetings).
    3. Make your desired changes, and Save changes.
    4. Continue to edit meeting details in the calendar event as needed.

  4. Confirm to notify meeting participants.
